Freight Delivery Receiving Checklist

A freight delivery goes smoothly when the receiving end is ready. This checklist covers before, during and after the truck arrives.

Freight is usually delivered by a less than truckload (LTL) carrier, often on a pallet. Tell checkout the truth about the delivery location, because it affects price and equipment. A business with a dock is different from a storefront without one or a home address.

Residential delivery: select it if the address is a home or a business operated from a home.

Liftgate: select it if there is no loading dock or forklift to unload the pallet.

Access: note narrow streets, gated sites or limited hours in your planning.

Clear a path from the truck to where the pallet will be unloaded. Freight drivers typically deliver to the curb or dock, not inside the building, so plan how cartons will move from there. Have a pallet jack, hand truck or enough people ready for heavy items, and know the weight shown on your order.

The delivery receipt or bill of lading is the record of what arrived. Before signing, count the pieces against the paperwork and look over each one.

Check for crushed corners, punctures, tears and broken pallets.

Look for wet or stained cartons and shifted loads.

Write specific notes such as "2 cartons crushed" next to your signature.

Photograph damage and labels before the driver leaves if you can.

If a shipment is badly damaged, you may decide not to accept it. In most cases, though, the better route is to accept the delivery with clear written notes and photographs, then report it promptly. Refusing a shipment without contacting the seller can delay a resolution. If you are unsure, note the damage in detail on the receipt and contact Biz Supply the same day.

Never sign for a delivery as received in good condition when it is not. A clean signature is often treated as evidence that the freight arrived undamaged.

The person at the door when the truck arrives may not be the person who placed the order. Share the order details, piece count and this checklist with reception, the warehouse team or whoever is on site, and make sure they know they are allowed to take a few minutes to inspect before signing.

Some damage is only visible after unpacking. Open cartons promptly, keep all packaging and photograph anything damaged. Carriers often set short time limits for reporting concealed damage, so do not leave freight unopened for long.

If something arrives damaged, short or wrong, email orderbizsupply@gmail.com with your order number, a description and your photos, and keep the product and packaging until you hear back. Do not ship anything back without arranging it first. You can also send a recorded message through Contact Support.

Move items to their final location, assemble according to the manufacturer instructions and anchor shelving or lockers as directed. Recycle cardboard and stretch wrap according to your local program. If you receive freight regularly, keep this checklist at the receiving door.

Keep the order confirmation, the delivery receipt with any notes, your photos and the product packaging labels together until everything is installed and working. If you receive freight regularly, a simple log with date, order number, piece count and condition makes it easy to see patterns and to answer questions later.

Confirm residential and liftgate needs before checkout.

Print this checklist for whoever receives deliveries.

Keep the order number handy on delivery day.
